The short version
We only collect what we need to run this website and respond to you. We don't sell your information or share it with anyone who doesn't need it.
What we collect
- If you contact us through the form on this site, we receive the details you provide: your name, contact details, and anything you tell us about what you are looking for. Those enquiries are stored by Kitset Labs, who build and run this website for us, and emailed to us so we can reply. They are not used for anything else.
- Our website keeps simple, anonymous visit counts (how many people viewed a page). This uses no cookies and cannot identify you.
- If you leave your email address on the shop page, we keep it only to let you know when the shop opens. We won't send you anything else, we won't pass it on to anyone, and you can ask us to remove it at any time.
Online bookings and cookies
Appointment bookings on this site are handled by Cliniko, the practice management system we use. When you use the booking form, Cliniko may set cookies in your browser to make the booking work and to help us understand how people find and use online bookings (analytics). The information you enter when booking goes into our secure Cliniko system, which we use to manage appointments and your care.
You can read about how Cliniko handles data at cliniko.com/privacy. You can also clear or block cookies in your browser settings at any time - bookings by phone or email always work too.
Your health information
When you become a client we are a health agency under New Zealand law. Your information is handled in line with the Privacy Act 2020 and the Health Information Privacy Code 2020.
Confidentiality
What you tell us stays between you and us. We treat everything about your care as confidential and we do not discuss it with anyone outside your care without your consent.
There are limits to that, and you should know what they are. We may have to share information without your consent where the law requires it, or where someone is at risk of serious harm. In particular, if we believe a child has been or is likely to be abused or neglected, we will report it, as set out in our Child Protection Policy. A child’s safety comes first.
Why we collect it, and what we collect
We collect what we need to assess, plan and provide speech-language therapy, and to keep an accurate record of your care. That usually means your contact details, relevant health and developmental history, assessment results, session notes, and any reports we write or receive about you.
Giving it to us is your choice
You do not have to give us anything. Some of it we genuinely need, though. Without it we may not be able to assess accurately, or to provide therapy safely, and in some cases not at all. We will tell you if that is the case rather than leave you guessing.
Who else sees it
We do not share your information without your consent, except where the law allows or requires it. With your consent we may share what is relevant with others involved in your care, such as your GP, paediatrician, audiologist, school or early childhood centre, or ACC where a claim applies. We never sell it, and we do not pass it to anyone who does not need it.
Consent is not a single blanket yes. When you agree to information being shared, you say who it can be shared with, and each person or organisation is named and acknowledged separately. Nobody is added to that list later without asking you first, and you can change your mind about any of them at any time.
Where it is kept, and for how long
Client records are held in Cliniko, the practice management system we use, which stores information securely. Any paper notes are kept locked away. Cliniko holds our records on servers in Australia, so your information is stored outside New Zealand. Australian privacy law gives it comparable protection, and Cliniko is required to keep it confidential and secure. Health information has to be kept for at least ten years from the date of the last service you received, under the Health (Retention of Health Information) Regulations 1996. We keep records for at least that long.
Session notes are written up in a file on Sarah’s phone that is protected by a password, and that file syncs to her other devices so the notes are available wherever she is working that day. The password is hers alone. Devices are locked when they are not in use.
Seeing and correcting your information
You can ask to see your information at any time, and ask us to correct anything that is wrong. We will respond within 20 working days. If we do not agree to a correction, you can ask us to attach a statement of the correction you wanted, and we will keep that with the record.
If something goes wrong
If you are unhappy with how we have handled your information, tell us first and we will try to put it right. If you are still not satisfied, you can complain to the Office of the Privacy Commissioner at privacy.org.nz or 0800 803 909.
